Have you finally come to the realization that you need to boost your daily productivity? If you have come to the point of admitting you have problems with self-discipline and you’re determined to finally overcome this, celebrate this step. It’s a clear indicator that you have reached a significant milestone.

I remember when I reached that milestone. It was eye-opening, because I thought that I was being very productive. However, when I reviewed my actual production it fell short of my goals. I had fallen into the perfectionist trap.

Today I will share with you three tips (including avoiding the perfectionist trap) to help you boost your daily productivity and achieve your daily goals.

1. Avoid the Perfectionist Trap

Do you finally finish a project, but when you start proofing it or testing it, you think of one more way it can be improved? Then you think of another. Then you research another. Before you know it, you’ve practically rewritten or redesigned the beast and you’re scrambling to meet deadlines (your own, or client-driven ones.)

Learn step back and say “STOP! This is done” by deciding in advance to do so. (It’s easier than you think.)

2. Don’t Punish Yourself for Success

If you finish a project early, resist the urge to immediately fill it with another one. That’s like punishing yourself for being super-efficient and leads to stress and burnout – no matter how keen you are on your business.

Instead, reward yourself with a well-earned dose of self-care. Read a book. Watch a movie. Sit in the garden for the afternoon. Get your hair done.

3. Learn to Switch Off

It’s a proven fact that the most burned-out people are those whose mind is always on their business. That’s a paradox for most entrepreneurs, but talk to any top, seven-figure entrepreneur and you’ll find that ninety-nine per cent of this elite category have no trouble shutting the office door at a certain point every day.

And running on empty won’t make you more efficient. It will just undermine the quality of your work and increase stress.

  • Done by you.

My advice is not to do tasks or functions that will not benefit from your personal involvement. For example, if you are not a graphic designer, do not create the designs for your business. Out-source the project.  There are several expert graphic designers who will do a better job than you.

Only do those things that will build your reputation more quickly.

I found out early in my business that I needed a system to capture and organize the names and email addresses of people interested in what I had to offer. These were people who bought my products or were intrigued by my free offers. It is much easier to have my clients and potential clients to opt-in to an automated email list than trying to keep track by hand.

I am calling your website, your content management system.  The best option around is WordPress. Your content is easily accessible and manageable. In addition, there are numerous plug-ins made especially for WordPress that can customize your site for you.

Goal Setting for Entrepreneurs

Goal setting for entrepreneurs can often be a tedious and time-consuming chore. Many entrepreneurs have this view of goal-setting because they do not see many positive results from the exercise. Have you ever felt that way? You set goals at the beginning of the year, then you set aside the paper with your written goals, and never achieve any results.

If that sounds like you, then you are in the right place. Today, I want to share with you my approach to goal setting for entrepreneurs that is not tedious or unproductive.

1. What is Goal Setting for Entrepreneurs?

Most business experts will tell you that you need to set S.M.A.R.T. goals. These same gurus will tell you that without setting S.M.A.R.T. goals you will never achieve the business and financial success that you desire.  At one point, I wrote an article advocating S.M.A.R.T. goals.

Now, I am ready to explode when I hear the experts talk about S.M.A.R.T. goals.

I have come to realize from personal experience, that S.M.A.R.T. goals can limit you. The biggest goals that I have achieved have come from setting outrageous goals, not S.M.A.R.T. goals. Just think about what S.M.A.R.T. means: Specific, Measurable, Attainable, Realistic, and Time-bound.

While that looks great on paper—and clearly, it is easy to remember—it does not go far enough for those who want to achieve important things. I agree with the premise that goals should be specific, measurable, and timely. However, I do not agree with the other two premises that goals should be attainable and realistic.

2. Does an “Attainable” “Realistic” Goal Inspire You?

Think about it. Do you want to be stuck with “attainable” and “realistic” goals when what you really dream about is a 3-day workweek, frequent international travel, and enough money to fund a college endowment? It seems clear to me that those safe, S.M.A.R.T. goals are not going to get you there.

In fact, they might even do worse than simply “not get you there.” They may actively hold you back.

Have you ever, set a goal to increase your earnings by 10%? That is often viewed as an “attainable” and “realistic” goal. But did that 10% goal inspire you to work harder? Or did it create a subconscious ceiling on your earning potential that you are unable to break through?

When I was 8 years old and I set the goal of becoming a lawyer. No one would have said my goal was “attainable” or “realistic.” Some would say my goal was outrageous. My goal required an expensive college and law school education. Then I would have to take and pass an expensive and tough bar exam before I received a license to practice law. My parents were not wealthy. I did not know any attorneys. But I had a burning desire to help people who were left out and locked out of full and equal participation in our social, legal, and economic systems. Despite, the seeming appearance of my goals being unrealistic and unattainable, I became a licensed attorney at the age of 25.

3. Goal Setting for the Savvy Entrepreneur

The savvy entrepreneur, rather than focusing on goals that are “attainable” and “realistic” knows that the key to incredible success lies in creating lofty goals that feel out of reach—maybe even UN-attainable. Savvy entrepreneurs do not strive to earn 10% more than last year. They want 50% or even 100% more. The savvy entrepreneur stretches herself. She finds new, and better, ways to do things.

Of course, you cannot simply declare crazy goals and expect to achieve them. However, when you shun the attainable goal for the outrageous goal, you push yourself beyond those self-imposed limits and reach for the stars.

Goal setting for entrepreneurs does not have to be a tedious and worthless exercise. When you learn to set the right kind of goals, you can achieve results far beyond your wildest desires. Remember to set goals that inspire you! You have a much better chance of achieving your goal, if it motivates your heart.

1. Use Your Blog to Build Your Mailing List

Like any smart business owner, you likely have opt-in forms on your website. But do you have a solid call to action at the end of your blog posts? When a new reader is finished reading your posts, she is primed to learn more. Give her the opportunity by offering an opt-in at the end of each post.

Even better, make it a logical next step by creating a related offer for each post. These content upgrades typically consist of a simple checklist or worksheet. They capture attention by providing even more information about a topic the reader is already interested in.

If you are using a double-opt-in mailing list, make use of that confirmation page, too! That is the perfect place for a quick upsell or an invitation to join you in your Facebook group or weekly Facebook Live presentation.

Imagine if you had the 9 best steps that will improve your work-life balance. How would that impact your life?

Do you resemble this old saying: “An entrepreneur is someone who will work sixteen hours a day to keep from working eight hours for someone else.”? This is often too true in the early days of a start-up.  You are trying to get your business off the ground and focusing on making a profit.

Spending time with your family often gets a low priority. In your quest for making a profit, my advice is “Do not neglect your family.” If you are not intentional in making connections and commitments with your family you may find yourself alone.

Remember the Reason “WHY”

You may be like many people who start a business to have more time with your family. But often you find yourself spending less and less time with them. Some commentators talk about the work-life balance. I do not think those two aspects of your life can ever really balance. But you can intentionally communicate and act with integrity to maintain a fabulous relationship with your family.

Do not let your business cost you your family.

 I have seen far too many people end up divorced and estranged from their children because of a lopsided devotion to work.  Yes, it is fine to be ambitious. I certainly understand the desire to get more clients, increase sales and make more money. However, you must remember the underlying reason for your work and ambition. The reason is usually to support and show love for your family.

Dexter and I have been married 35 years. We have raised our son.  At the center of this relationship is a deep commitment to each other and our shared dreams for our life together. Occasionally, I have missed my wedding anniversary, my husband’s birthday, and even Halloween for out-of-town business trips. But, I made it clear that the short-term sacrifice was for our family’s long-term benefit.

So, what can you do to be intentional in finding a balance between your business and your family so that neither suffers?

1. Set a time to stop working and then stick to it.

When you work for yourself it is sometimes hard to know when to quit. You could work around the clock. However, you need to set a time to stop working and stick to it. This may be hard. But, if you want to keep your relationship with your family going well you need to spend time with them. Decide what times you will work and when you will stop. This may need to be adjusted for big projects. But keep your family informed so they will know what to expect.

Neil Pasricha, bestselling author of The Happiness Equation, in a recent blog post advises that you (1) limit checking emails to twice a day, and (2) create 30-second barriers to after-work phone-checking.

2. Tell your family in advance if you have a tight deadline.

If you have a tough deadline coming up or a special project, explain it to your family in advance. Ask for their help in letting you complete the project undisturbed. Offer an ethical bribe such as pizza night and the movies if they would leave you alone for a few hours to complete your project.

3. Explain to your spouse and children the importance of your business.

Your family needs to understand the importance of your business. Help them to understand that this is your work. It is how you help provide housing, food and clothes for the family. You are not playing video games or watching movies. Let them know your long-term goals. What do you hope to achieve with your business? If they can share your vision, life becomes much easier.

4. Set up a private space for your office.  

Try to have a space set up that is for work only. When you walk away, leave the work behind for the day. Do not bring your laptop into the family room and work. When you are with your children and your spouse, give them your complete attention.

5. Learn to be in the moment

When you are working, do not worry about the children. When you are with your children, do not stress about work. Let your family know how important they are to you and how much you love them.

6. Keep your commitments to your family

Your commitments to your family are just as important as those to your clients. Do not make it a habit of canceling on family commitments. They will quickly learn that they are a low priority in your life. If you say you are going to take the children skating or to the movies, then do so. If you agree to hire a sitter, and go out with your husband on Saturday, then do so.

7. Do not procrastinate

There is nothing worse than having two weeks to work on a project and then waiting until the last minute to get started. You will snap at your spouse and children about how you must get your work done. 8. Find other interests

Find a hobby that helps you feel relaxed and brings you joy. Not everything is about money. Volunteer for your favorite non-profit. Or join a service organization like the Rotary Club. I have greatly enjoyed meeting other business leaders and working with them on community service projects.

9. Find Time for Yourself

You cannot be so focused on the business or the family that you neglect yourself. Finding time for yourself is essential to your well-being and peace of mind. Taking time for yourself is not selfish. 1. Make appointments with yourself

If a project is important enough to do, it is important enough to add to your calendar. We have developed the powerful habit of putting everything on the calendar. I learned this from my years of practicing law. As a lawyer, you do not want to miss any deadlines. I run my entire life with my calendar.  If it is not on the calendar, it does not exist. This one powerful strategy can greatly boost your productivity.

2. Take a day off

Have you ever noticed when you plan a vacation that you get super productive? I know that I do. I want everything finished before I head to the airport. To give me that since of urgency, I schedule a day off to have lunch with friends and be a tourist in my hometown. Because I want to enjoy my day off, I am highly motivated to finish lagging projects. I am working up to scheduling a day off every week. What about you? Are you finding time for yourself?

3. Give yourself permission to say no

Sometimes I feel responsible for everything and find it difficult to say no.  Do you have the same problem? I came to the realization that if I try to accommodate everyone else, then I end up stressed and overworked. Instead, I have learned to say no to the new board position. I also learned to say no to doing household chores that are not the best use of my time.  Boost your productivity by making time for what is really important and give yourself permission to say no to everything else.

4. Take a break

Sometimes it helps to take a quick break to boost your productivity. Have you ever sat at your desk not accomplishing one thing? Then, it is time to take a break.  A few minutes reading a delightful book has a wonderful way of recharging your batteries and will boost your productivity when you return to work.

5. Give up control

For “Type A” personalities like me, I feel that I must have control over most situations. I had to learn that others could handle the situation. They might do it differently than I would have. But their job was good enough. You may need to learn, like I did, that it is okay to let go. Learn to give up some control and let others help. Your productivity increases as you learn to delegate to members of your team.

6. Practice focusing

Earlier this month, I wrote about focusing on a specific niche to grow your profits. Today, I am writing about focusing on one project at time. Multi-tasking is a huge waste of time. What should take 30-minutes could stretch into an afternoon of accomplishing nothing as you work on three different projects.  You will be amazed at how much you can boost your productivity you are once you begin to focus.

Imagine having 7 powerful strategies to improve your business time management. How would that change your business? Remember that you cannot really manage time. But you can manage yourself. Everything you do in your business involves actions, conversations, or thoughts (ACTs). Each one of these ACTs can take up your valuable time. I certainly understand the problem of being over committed. Recently I found myself struggling with seven projects. They had been sitting on my desk for weeks. I was feeling overwhelmed. So, I took time to review the time management strategies that have helped me in the past. These strategies are truly self-management skills. By implementing these strategies, I finished those seven projects. Today I am sharing with you 7 powerful strategies to improve your business time management.

 

1.    Categorize Your Priorities

Categorize as “important” the things that only you can do and prioritize them. Creating a 5-year business plan and networking with prospective joint venture partners are just two examples of projects that are “important” priorities. As management guru Peter Drucker said, “until we can manage time, we can manage nothing else.”  

 

2.    Delegate to Others.

If a task does not require your personal attention as the business owner, then delegate it on to one of your team members. Delegate as much as possible. This enables you to focus on the money-making tasks. According to Kevin Kruse, author of 15 Secrets Successful People Know About,  Secret #1 is: “Time is your most valuable and scarcest resource.”   How are you using your most valuable asset?

 

 3.    Make Business Appointments with Yourself.

Get a planner or calendar with pages laid out in 15-minute increments. Schedule your tasks for the day, in pencil if possible, to make it easy to change things around. When you physically write things down, they are easier to remember.  According to the book 15 Secrets Successful People Know About, highly successful people live life from their calendar. Remember, that if it is not on the calendar, it will not get done.  According to Kruse, Secret #3 is: “Work from your calendar, not a do-do-list.”

 

 4.    Overestimate the Time Needed to Complete a Task.

If you are unsure of how long a task will take, guess and tack on an extra 15 minutes. Set a stopwatch timer to find out how long it really takes you to finish. When the task comes up again, use the actual time it took to schedule it in your planner.

 

 5.    Say “No.”

You said “no” over and over when you were a toddler. As a teenager, you probably thought about saying “no” to your parents’ requests. Then when you had your own children, you told them “no” on many occasions. Therefore, you have had a lot of practice over the years saying “no.” You know how to do this. Get in the habit of saying “no” in your business.

 

6.    Organize Your Desk.

You have heard the saying, “A place for everything and everything in its place.” Keep your desk tools within arm’s reach. Immediately after using an item, put it back in the proper place. Looking for the items you need wastes your time and frustrates you.

 7.    Focus on One Task at a Time.

Focus on completing one task and achieving one goal at a time. When each item is completed, you will get a feeling of success. Follow up with another success. This will give you a positive mindset, which encourages you to move forward rather than procrastinating. This was the key to finishing my seven projects. I could not work on them simultaneously. I moved them off my desk and worked on each one until completion. It felt like a huge burden had been lifted off my back.

This is especially true during the hustle and bustle of the holiday season. However, you cannot maintain the pace of running your business and helping family, friends, and your community if you are tired and stressed out. Taking time for yourself is not selfish. It will give you an opportunity to refresh and focus on what is truly important. You will also discover that you will be more productive when you find time for yourself in your busy schedule.

Sometimes you may struggle with developing the right mindset and habits that would help in finding time yourself. Old habits and patterns are sometimes hard to break. You may wish them away and want to do better. However, without practical tips and advice along with the creation of new habits, you can remain stuck in the same old place. This article presents three tips that will help you make the transition to finding time for yourself and improving your well-being. In no time, you will find that you have created new habits and mindset.

1. Schedule Your “Me” Time

Set aside some time daily. If you are like many people that I know, then this may seem impossible. But guess what? You can find 15 minutes every day. You must be dedicated to your “me” time. It is just as important as your appointments with your doctors.  For example, you can take 15 minutes to meditate in the morning. Or you could go outside for a few minutes in the morning to have a soothing cup of tea as you listen to nature and relax. Perhaps you may want to spend a few minutes reading from an inspirational or spiritual book. Only the most serious circumstances should cause anyone to interrupt you. After all, it is only 15 minutes. Everyone will survive without you for a while.

 3. Choose How You Start Your Day

You can choose to start your day grumpy and irritable or you can choose to start your day grateful that you were given another chance to enjoy life and love. The choice is always yours. Choose to wake up by declaring out aloud a few things you are grateful for and watch how this daily habit changes your day and your life.  Use this time to set the path for a positive productive day.

Here are 3 strategies for effective time management to help you address this pressing problem and meet your chosen objectives. To begin, ask yourself, “How am I spending my time?” As an entrepreneur or small business owner are you keeping track of how you use each hour of the day?  Are you tracking your time like you keep track of how you spend money or how many steps you take during the day?  Are you focusing on the Activities, Conversations, and Thoughts (ACTs) that produce results for your business?

1.Track and Assess How You Are Currently Using your Time

Use a diary or scheduler/calendar to record all your Activities, Conversations, and Thoughts (ACTs) for a week and any everything else that you do. This allows you to determine what you are doing right now to manage your time.  A review of how you are currently managing time will help you determine whether you are wasting time, i.e., not addressing priorities or are you spending time on priority matters. This diary will be very enlightening.  You can use it to help eliminate certain activities, consolidate other activities, and help schedule essential tasks

2. Make Appointments with Yourself

Schedule specific appointments with yourself to do those essential business tasks.  Just like you schedule outside appointments, do the same for the tasks that produce results in your business. So you must schedule time for the Activities, Conversations, and Thoughts (ACTs) that are important for your success. As business guru Tom Peters has noted over the years that time is your strategic weapon.  You must manage time wisely to remain competitive in a fast moving business environment.

3. Plan for Tomorrow at the End of Today

Take 45 minutes at the end of every day to plan for the next day.  Those 45 minutes are crucial for making sure that you have scheduled time for high priority Activities, Conversations, and Thoughts (ACTs). Planning for the next day allows you to free your mind at night of all the worry and clutter of thinking about tomorrow. Be sure to strategically consider when you have the highest energy.  Plan to tackle the most difficult tasks during that time. This is one of the most effective ways to manage your time.

Some gurus suggest that you plan for each day at the beginning of the day. We prefer to do this time management step at the end of the previous day, so that in the morning we are ready to go with our plan in hand.
